Every trade has admin that no off-the-shelf tool covers
Standard automations cover the big stuff — missed calls, bookings, reviews, reminders. But every business has its own quirks. The deposit you chase before every big job. The compliance certificate you have to send after every install. The ‘your car is ready’ text you type out ten times a day.
Here’s the simple test: if you find yourself repeating the same task every week, that’s a workflow we can automate. We sit down with you, map out how the job actually flows from enquiry to done, and build automations around your process — not someone else’s template.
Custom Workflows are included in the Scale plan. And if you need something bigger — a custom integration with your CRM or accounting software, or a bespoke tool built from scratch — we quote that separately. Just get in touch.
How custom workflows work
We map your process
We sit down with you and walk through how a job actually runs — from first enquiry to final payment — and spot the repetitive admin that eats your time.
We build the workflow
We build the automation around your exact process, using your wording and your tools. You review it and tell us what to tweak before it goes live.
It runs in the background
The workflow does the admin automatically from then on. If your process changes down the line, tell us and we’ll adjust it — that’s included.
Without custom workflows
- The same admin tasks eat up every evening, week after week
- Deposits, certificates, and updates chased by memory — some slip through
- Customers ring to ask ‘any update?’ because nobody told them
- Off-the-shelf tools almost fit, so you bend your process to suit them
- The busier you get, the more admin piles up
With custom workflows
- Your repetitive admin runs itself, automatically
- Deposit reminders, compliance chasers, and updates go out on time, every time
- Customers get job status texts before they think to ask
- The automation is built around how YOU work — no compromise
- Take on more work without the admin growing with it
Why trades use custom workflows
Automates YOUR admin
Built around the specific tasks you repeat every week — not a generic checklist that half-fits.
No template compromise
You don’t bend your process to fit the software. We build the workflow to fit your process.
Runs silently in the background
Once it’s live, there’s nothing to press and nothing to check. It just happens, 24/7.
Changes as you change
New service? Different process? Tell us and we adjust the workflow — updates are included.
Connects your existing tools
We work with what you already use wherever possible — no new apps to learn, no double entry.
Frees up your evenings
The admin you used to do at the kitchen table after tea gets done automatically instead.
Custom workflow FAQs
What counts as a custom workflow?
Any repetitive admin task that follows a pattern — if it happens the same way every time, we can usually automate it. Think messages that go out at a certain point in a job, reminders tied to dates, or follow-ups after work is done. If you find yourself repeating the same task every week, that's a workflow.
Can you give me some examples?
Deposit reminders before big jobs. Compliance certificate chasers after installs. Courtesy-car notifications for garages. ‘Parts ordered’ and materials delivery updates. Job status texts like ‘your car is ready’. Post-job satisfaction check-ins. Handover sequences when a job wraps up. Every trade's list looks different — that's the point.
What's included in Scale, and what's quoted separately?
Custom Workflows are included in the Scale plan — bespoke automations built around your process using our platform. Bigger projects — custom integrations with your CRM or accounting software, bespoke software or tools, and API work — are quoted separately per project. Get in touch and we'll scope it with you.
Do I need any technical knowledge?
None at all. You describe how your business works in plain English, and we handle everything technical. Once the workflow is live, it runs itself — there's nothing for you to configure or maintain.
Can it connect to the tools I already use?
In most cases, yes. Simple connections to the tools you already use are part of the workflow build. Deeper integrations — like syncing with a CRM or accounting software — fall under our bespoke work and are quoted separately via our contact page.
How quickly can my workflow go live?
Most workflows go live within a couple of weeks of mapping your process — simple ones sooner. We build it, you review it, we tweak it, then it switches on. Larger quoted projects get their own timeline when we scope them.
