APPOINTMENT REMINDERS FOR LANDSCAPERS
Weather moves your week. Your customers shouldn't vanish too
Rain pushes Tuesday's turfing to Thursday, Thursday's quote visit slides to Monday — and somewhere in the shuffle, a customer forgets you're coming at all. Appointment Reminders keeps everyone on the same page with well-timed texts, so a rearranged week doesn't turn into empty driveways, locked side gates, and wasted diesel.

In this trade, the diary is a moving target
Every landscaper's schedule is negotiated with the sky. A washed-out morning cascades through the whole week: jobs shift, quote visits get squeezed into new gaps, and the consultation you arranged a fortnight ago now sits in a customer's head attached to the wrong day. When you finally pull up outside, they're out, the side gate's bolted, and the dog's got the run of the garden you came to measure. It's nobody's fault exactly — which is what makes it so maddening, and so constant.
Each of those failed visits costs more than the fuel and the hour. A quote you can't do is a project that stalls — and a stalling customer keeps browsing, which means the garden you were about to price is now being walked by someone else. Add up a season of forgotten consultations, unattended maintenance visits, and mistimed arrivals, and you're looking at genuinely lost revenue plus a string of evenings spent replaying phone calls that should never have been needed in the first place.
Appointment Reminders takes over that communication. Customers get an SMS the day before their visit and another a couple of hours out, each with the details and the option to confirm or rearrange by reply. When plans change — theirs or yours — you hear about it early enough to refill the slot, not when you're stood knocking on a silent front door with a van full of kit. The diary can keep moving with the weather; the difference is that your customers now move with it.
How it works
The visit lands in your diary
Consultation, quote visit, or maintenance call — however it was booked, the reminder sequence hooks on by itself. There's no per-job setup and nothing for you to remember.
The customer gets nudged twice
A text the day before and another shortly before you arrive, both under your business name, with everything they need to be in and ready when you pull up.
Replies reach you in real time
Confirmations, cancellations, and rearrangement requests come straight back to you — early enough to drop another job into any gap that opens in the day.
Why landscapers use appointment reminders
No-shows cut right down
Simple, well-timed SMS reminders reduce no-shows by up to 40%. Over a season, that's a serious number of quote visits that actually happen.
Survives the weather shuffle
When rain rewrites the week, updated reminders keep customers tracking the new plan instead of the one they wrote on the kitchen calendar a fortnight ago.
No more loaded-van letdowns
Setting off with a trailer of turf or a tonne of paving to an empty house is a morning gone. Confirmations mean you roll out knowing someone's in.
Cancellations become gaps you fill
A customer who can reply "can we move it?" tells you today, not by their absence tomorrow. Early warning turns dead slots into billable ones.
Start days run smoother
Reminders ahead of a project start mean cars are off the drive, gates are unlocked, and pets are indoors before the crew and the skip arrive.
Zero admin from you
If a visit sits in the schedule, its reminders happen automatically — every time. You'll never again spend an evening messaging the next day's customers after ten hours of graft.
Appointment Reminders FAQs
When do customers receive their reminder texts?
The default rhythm is one message the day before the visit and one a couple of hours ahead of it — enough notice to rearrange, close enough to stick in the memory. If your rounds suit different timings, we adjust them during setup. Landscapers with early starts, for instance, often prefer the second reminder to land the previous evening so customers have gates unlocked and cars moved before eight in the morning rather than scrambling when the van's already outside.
What happens when the weather forces me to rearrange a job?
You move the booking and the customer is kept in the loop with the updated details, so your rain-delay Tuesday doesn't become their surprise no-show Thursday. It replaces the round of apologetic phone calls every wet forecast used to trigger. This matters more in landscaping than almost any trade: your diary probably changes weekly from March to October, and every change is a chance for a customer to lose track of you. The reminders make sure the version of the plan in their head is always the current one.
Can customers reply to the reminders?
Yes — a reply is all it takes to confirm, cancel, or ask for a new time, and it lands with you immediately. Silent no-shows turn into conversations, and most of those conversations end in a rearranged visit rather than a lost customer. There's a knock-on benefit too: because replying is so easy, you learn about clashes days in advance instead of discovering them from an empty driveway, which gives you a fighting chance of filling the slot with a small job or another quote visit.
Do reminders help with garden maintenance rounds as well as quote visits?
Very much so. Maintenance customers need to unlock gates, secure dogs, and occasionally move cars — a reminder the evening before sorts all of it. Fewer locked-out visits means rounds finish on time and nobody gets skipped. It also quietly improves the customer relationship: people who are reminded feel looked after, and a maintenance round that always turns up when it said it would is exactly the kind of reliability that keeps contracts renewing year after year.
Can the reminder ask the customer to prepare access?
Yes. Messages can carry your standard notes — leave the side gate open, keep the drive clear for the grab lorry, make sure the garden's accessible. It saves the visits where you arrive on time but can't actually get to the work, which for a landscaper are almost as costly as no-shows. If different job types need different instructions — machinery access for a dig-out, nothing at all for a front-garden quote — we set those variations up for you during onboarding.
